To begin conferencing
Notify participants of the dial in number, your Conference ID, along with the date and time of the conference. All participants will call the same dial in number, and enter the same conference ID followed by the # key.  The conference will begin in Conversation Mode (all participants will be able to talk).  Participant keys can be used by all callers on the conference call.

Entering Access Codes
Callers should enter the Conference ID provided to you followed by the # key. The host of the conference can access additional features by entering the * key and  the Moderator Pin followed of the # key.

To Initiate a Conference

   Moderator

Moderator is given toll # 1-218-936-1064 & Conference Codes. Before the conference, the Moderator distributes the # and the Conference ID to the participants.

  • To initiate a conference, moderator calls 1-218-936-1064 and enters the Conference ID followed by the #. Then press * and the Moderator Pin followed by the #.
  • Conference Begins.
   Participant
  • Dials 1-218-936-1064 and enters the Conference ID followed by # key.

During the Conference

   Moderator

*3 - record your conference call and hear it on your replay line.

*3 - increase volume on the line

*4 - lock the conference

*5 - unlock the conference

*6 - mute individual line

*7 - un-mute individual line

*8 - continue conference after moderator hangs up

*9 - decrease volume on the line

99 - un-mute all participant lines

Detailed In Conference Commands

*3 - Record your conference call and hear it on your replay line.

Once the moderator presses *3 then 3, as prompted, the recording will begin.  The moderator can press*2 then press 1 again to stop recording. 

*3 - Increase Volume on the line

When conference participant presses *3, their voice will become louder to the other participants.

*4 - Lock the Conference

The moderator can set the conference so no other participants are able to join. System plays a prompt to moderator saying that the conference has been locked. When participants dial in, they receive a message saying “The conference has been locked, you are not able to join.”

*5 - Unlock the Conference

If the moderator has locked the conference and wants to enable participants to join, she uses this feature. System plays a message saying, “The conference has been unlocked.”

*6 - Mute individual line

This command mutes the line of the participant.

*7 - Unmute individual line

This command unmutes the line of the participant.

*8 - Enables the conference to continue after the moderator has left the conference

(Service Provider must enable this for you).
The moderator must press *8 if they wish the participants to continue speaking after the moderator has hung up.

*9 - Decreases volume on the line

This decreases the volume on the participants line.

99 - Mute all participant line

This mutes all participant lines so the moderator can speak.

## - Unmutes all participant lines

This allows all the participants to speak.

 

Cell Phones

  • Whenever possible, do not use a cell phone.
  • When using a cell phone, make sure you are in a quiet place and your phone has a strong signal.
  • If there is static or interference, use the mute feature (*6) when not speaking and unmute (*7) to speak.

Speakerphones

  • If you are using a speakerphone, turn the volume down. Most speakerphones do not need high volume to carry your voice into the conference.
  • Keep the speakerphone in the center of the table, away from walls that can cause feedback.
  • Utilize the mute feature when not talking to avoid the speakerphone picking up noise like paper rustling, fidgeting or other distracting sounds.
  • Only utilize phones with full digital duplex, which allow all callers to speak at the same time without "clipping."
  • Sound Quality Issues

    If you experience any sound quality issues, try the following:

  • Hang up and dial back into the conference.
  • Try using the "Mute" button on the handset (or the *6 feature).

Etiquette

  • For a smooth conference call, make sure you have an agenda at hand.
  • Follow your agenda to make sure you don't wander or go over your set time limit.
  • Turn off call waiting. Dialing 70# before dialing deactivates most call waiting features.
  • Enter the conference on time or early. This is especially helpful if you are the moderator, since it allows you to greet each attendee as they enter.
  • Introduce yourself before speaking.
Make sure and end the call clearly, staying on the line until every attendee has left.
